Grammar, flow and readability, conciseness, correct choice of words and terms

It is essential to make sure there are no grammatical errors. We check for the correct use of tense, subject–verb agreement, articles (a/an/the), punctuation, and sentence structure.

It is also very important to make sure the paper is readable, meaning that the reader can clearly understand and evaluate the content and conclusions/implications of the paper. In practice, this means presenting the text in a concise and clear manner. Therefore, we check for and modify overly complex sentences, and make sure that the use of words and phrases is correct in context. In our experience, this is especially important for text that has been translated from Chinese.

The flow of the text is another key aspect. It is important to make sure that the text flows in a logical order with smooth transitions between paragraphs and sections. This is especially relevant for the Introduction and Discussion, and greatly helps to enhance the readability of the paper.

If there are areas that we think could be improved by altering the flow, we first mark them with comments rather than make extensive changes. If you would then like us to make the changes, just let us know.

As the abstract is usually the first part of your paper a reviewer or reader will see, it is important to make a good first impression. Therefore, we make sure that the major elements are included, especially the aims/objectives, and make sure that the data match that reported in the text.

If you have asked us to format the paper, then we will also make sure the word count is correct and reduce it when necessary.

We make sure that each section of the paper from Abstract to Conclusion contains the required elements. For example, does the Introduction clearly explain what is already known about the topic, what remains unknown/unclear, the study question/hypothesis, and the aims of the study.

We also edit your paper as a whole, and consider whether the sections connect logically, terms are used consistently, the conclusions reasonable considering the results and so on. If there are areas that we think could be clarified, we mark them with comments rather than make extensive changes. Then if you choose to alter the text or would like our help to do so, just let us know (this is included in the package and there is no extra cost).

Terms, abbreviations, tables, figures, references, data

It may seem like a small issue, but making sure the details have been checked help to improve the overall impression of your paper and consequently the chances of being accepted. For example, if the name of your department has been spelled incorrectly on the title page or if there are mistakes in the title, it can give the reviewer a negative impression before they begin.

Other items that may seem like small details but are important include making sure all the figures, tables and references are cited in the text. We check this for you and make sure they match, for example that “Table 1” cited in the text does indeed refer to Table 1 (as long as the tables are provided).

We also make sure that abbreviations and terms are used appropriately and consistently throughout the paper. In our experience, this is a particular weakness with AI tools. If you provide a list of abbreviations, we also check to make sure the list matches the text. If you choose to have the paper formatted [add link here] and the guidelines request a list of abbreviations, we will make this for you. In general we follow the AMA style guidelines, in that an abbreviation should only be used if the term appears three or more times in the paper (with certain exceptions).

Finally, we check that data quoted in the results match that in the tables (if provided).

We check to make sure the English used in the title is correct. After finishing going through the paper, we review the title again and give feedback if we think an alternative would be more suitable.

If you provide the title page, we will carefully check the details. For example, spelling mistakes in the institute/department name, that the address of each institute includes the city and country, that all authors have an associated institute etc. As mentioned above [add link to above], making sure that the title and title page are error free will enhance the initial impression of your paper and may increase the chance of acceptance.

Revisions are an essential part of the publication process. If you make changes to the text based on our suggestions and/or comments there is no charge for a second revision. This is also the case if you have only changed a few words or sentences, and we only charge if extensive changes to the text have been made. This is also true for subsequent drafts.

When the journal reviews your paper and requests revisions, we are there to help. Revisions are included in the complete package, and we only charge if extensive changes to the text have been made. We can also help to edit the reply letter to the reviewer on request (this is charged).
